Indian businesses still rely on manual invoicing despite digital adoption: Study
Nearly 70% of businesses still struggle with bill and accounts payable processing, making it the biggest accounting challenge for small and medium enterprises, according to an analysis by AI Accountant based on over 2,400 product demonstrations between January and July 2026.

The study found that 69.6% of businesses cited invoice processing as their biggest pain point, far ahead of bank and credit card reconciliation (14%) and GST reconciliation (8.1%).

The findings point to a gap in India’s digital push. While companies have digitised transactions, many still rely on manual work to collect invoices, enter data, match payments and prepare accounts. This slows down book closures, delays financial reporting and increases the risk of errors.

“Businesses often think accounting begins with financial reports, but it actually begins with invoices. If invoices are processed manually, everything that follows, from reconciliation to reporting, also gets delayed. The biggest challenge we found wasn’t GST or compliance. It was the manual work involved in preparing financial data,” said Bhagath G, co-founder of AI Accountant.

The study also showed that founders are increasingly driving adoption of finance automation tools. Business owners accounted for 37.3% of product demonstrations and had the highest conversion rate among paying customers at 10.7%, suggesting that automation is moving from an accounting function to a broader business priority.

Manufacturing emerged as the largest segment among paying customers, reflecting the need for automation in industries handling large volumes of invoices. Professional services and accounting firms were the biggest group exploring such solutions, followed by manufacturing, trading and distribution, construction and real estate, IT and software, healthcare and food and beverage companies.

Invoice automation through bulk uploads and data extraction was the most sought-after feature among users, followed by AI-based ledger mapping, duplicate invoice detection and GST reconciliation.

“Automation isn’t about replacing accountants. It’s about removing repetitive work so finance professionals can focus on helping businesses make better decisions,” Bhagath said.

With more than 60 million MSMEs in India, many businesses still depend on manual accounting processes. The study suggests that improving finance productivity remains a challenge even as digital adoption expands.
