Poland has made it mandatory for all work permit applications and related contracts to be submitted through its official government website. According to a Fragomen report, paper applications are no longer accepted and will not be processed.

The change affects both general work permits and contracts linked to special permissions or seasonal work. Contracts for special permissions and seasonal work must have been submitted online since July 1 2025, while contracts tied to standard work permits have been required online since August 1 2025.

Authorities say the introduction of this system is not expected to significantly affect processing times, as digital applications were already widely used before the new rules came into effect, Fragomen reported. However, practices differ across government offices regarding supporting documents. Some offices accept scanned copies of ink-signed documents, while others require digitally signed documents only.


The new policy is part of Poland’s broader push to simplify administrative procedures and improve efficiency in handling work permits.
